Conference Student Program Details and Registration Procedures
June 25, 2010
Dear Program Directors & Second Year Pathologists' Assistant Students,
Due to the success of the student program at the AAPA conference in Baltimore last year, we are pleased to announce the continuation of the program at the 36th Annual AAPA Continuing Education & Business Conference being held at the Indianapolis Marriott Downtown Hotel located in Indianapolis, Indiana from September 25th through October 1st, 2010.
We have made a few minor changes to the program, including some new requirements for eligible participants:
- The program is open to all currently enrolled 2nd year pathologists’ assistant students who are student members of the AAPA and current with their dues payments.
- Each student will be required to present their own, individual poster or a 30 minute oral case presentation. Please note: students will not receive an honorarium; however, an award will be presented to the top three presenters chosen by an awards committee. Posters prepared by a group of students will not qualify an individual student for participation in the program.
- Students participating in this program will receive free conference registration for the entire week.
- There are a limited amount of complimentary hotel rooms available for Sunday, Monday and Tuesday only. Students who elect to stay the remainder of the week will be individually responsible for any additional nights they stay. Complementary hotel rooms will be available on a first come first served basis to eligible participants. The student rooms consist of dorm style rooms with two double beds and will be shared by four people. Every attempt will be made to keep classmates together; however, this is not always possible. Hotel rooms for the Indiana program students will be on a space available basis only. Preference will be given to students not within commuting distance. Due to the limited number of rooms, students are encouraged to register early.
- Students are strongly urged to attend the Welcome party, Keynote reception, Business meeting and Exhibitor Session. Students are encouraged to volunteer during the conference with light duties such as scanning badges and helping the conference committee.
- A luncheon presentation of the updated Facts of Life lecture will be provided to the students on Monday afternoon. This lecture will provide students with information to aid in job search and subsequent contract negotiations. The lecture will be followed by a focus group discussion between the students and John Mitchell, Executive Director of the AAPA, about the future of the AAPA and how the association can best meet the needs of graduating students.
- Students may participate in any optional workshops or fun activities, but are responsible for any associated fees.
I look forward to meeting the 2010-2011 graduating class. In the meantime if there are any questions please feel free to email me at nchimara@comcast.net or call 360 744- 6837 PST.
Sincerely,
Nancy G. Chimara, PA(ASCP)CM

To take advantage of the complimentary Student Program, please read through and follow the steps below before registering. Your registration must be received no later than July 31; however, the sooner you can submit, the better.
1. To register for the conference, log in to the online registration form using your AAPA username and password. 2nd year students can choose to attend the full week or register by day. To help us in our planning, we would really appreciate you selecting only full week if you plan to attend the conference Monday – Friday; otherwise, please choose daily and select the specific days you plan to attend. If you can only attend Monday and Tuesday, please mark accordingly. A balance will show, but no amount will be due. Your complimentary registration includes breakfast and break on the day(s) you are registered.
2. You may register for any of the afternoon workshops and pay the fee listed. Most, but not all workshops, include lunch.
3. You may also register for any of the optional fun activities and pay the fee listed. This is a great chance for you to meet and interact with more members.
4. For planning purposes, it would be helpful for you to note in the “Additional Comments” box on your online registration form which receptions you plan on attending at no charge. All receptions include appetizers, a drink ticket, and a great chance to network with other members of the association. Receptions include (1) Sunday Welcome Party, (2) Monday Keynote Reception, and (3) Wednesday Happy Hour with the Exhibitors.
5. If you would like to take advantage of the complimentary dorm style accommodations - doubles with four per room, you must specify which nights you would like reserved for you in the “Additional Comments” box on your online registration form. A limited number of rooms will be available for (1) Sunday night, (2) Monday night, and (3) Tuesday night. It is extremely helpful for all attending from your program to break themselves into groups of four prior to registering and note here who would like to room together. Complimentary hotel reservations will be booked through the Central Office, and a confirmation will be emailed to you listing final rooming assignments. When checking in at the hotel, a credit card will be required from each student to have on file for incidentals.
6. If you will be taking full advantage of your free registration and will be joining us beyond your available Tuesday night complimentary accommodations, you will be responsible for booking any additional sleeping room nights at the hotel. Visit the AAPA web site for details on booking a room through the Downtown Marriott.
7. When the main page of your conference registration is completed, click “Proceed to Pay”. The payment page defaults to “Invoice Me”. Leave this as is and choose “Pay Now” to proceed. We will zero out your full or daily conference registration behind the scenes once we’ve verified 2nd year student status. If there is any balance due for workshops and/or optional fun activities, payment will be required and is due upon receipt of your invoice.
8. A receipt will be available for printing once your registration has been submitted. A detailed confirmation will follow within a week via email after your registration has been entered and processed. As we get closer to the conference, we will email those registered with additional information on special activities we have planned specifically for the student program once we have a better idea of how many students will be attending.
9. After your registration has been received and processed, you will be contacted by the Central Office about submission of your abstract for either a poster presentation or 30 minute oral case presentation. Failure to present your agreed upon poster or oral case presentation will result in forfeiture of complimentary conference registration and hotel accommodations and you will be billed for the amount due. For more information on our poster presentation guidelines, please visit the conference section of the AAPA web site.
10. If you have any registration questions, please contact the AAPA Central Office at 800.532.AAPA or info@pathologistsassistants.org.
